Annex F

We have just moved over V4 and are having problems with Annex F Compliance when we try and include documents. What are the rules which Annex F covers? We do not think we are doing anything differently, but it will just not accept most documents converted from Word, using Acrobat distiller. The only way we can get them in, is to print and scan the document, or sometimes printing to Distiller again from an already converted document works.
It does seem very random as to when the Annex F message apperas, as other memebers of our team can convert the same document and it be fine. We are all using the same versions of Adobe.

Any thoughts would be appreciated

Hi Martyn,

"You should therefore make sure that your PDF generator meets the following criteria:
· It must have all fonts embedded (exception: Base 14 fonts will be accepted even if they are not
embedded).
· The page size must be A4 or smaller (if it is even 1 mm bigger the document is likely to be rejected).
· The PDF should not be encrypted.
· Colour and grey scale images and drawings are (at present) not allowed.
· The PDF must be Version 1.1 (or later).
· The PDF should not contain embedded OLE objects."

I know that filings to e.g. DPMA actually also require the Base 14 fonts to be embedded. Apart from that you should be able to configure your Adobe Distiller such that the above rules are complied with. It should also be noted that different procedures handle the attachments differently e.g. PCT/RO101 throws a yellow warning message if fonts are not embedded but EP will refuse the same document. So I believe it is not so much the version of Acrobat Distiller but the variation in fonts involved and individual configuration.

If you have example of PDFs that are not accepted - feel free to sent them to me for analysis.

There was a patch to overcome Annex F rejections for pdfs that were created with word processors and apparently did not exactly match the height and width as per annex F. I note that there is no similar patch for Version 5.0. Is it planned to have one?

The content of the patch was integrated in the V5 release, hence there is no need for a separate patch.
